Best Practices and Permitted Use
At Stantec, we believe innovation should enhance—not replace—the human connections that make our work meaningful. As Generative AI (GenAI) becomes more common in job searches, we want to help candidates use it responsibly, transparently, and in ways that reflect their authentic experiences.
This guidance applies to all candidates applying for roles at Stantec. Our goal is to ensure fairness, transparency, and alignment with our inclusive hiring practices.
Application Stage
GenAI tools can help you communicate your ideas more clearly and professionally, but they should never misrepresent your background. Here are examples of appropriate uses and things to avoid:
Refining your writing. Use GenAI to improve clarity, structure, and phrasing—like how you might use grammar or spell-check tools.
Do not fabricate experiences, skills, or qualifications. Misrepresentation undermines the integrity of the process and may disqualify your application.
Polishing grammar and tone. Ensure your writing is professional, well-organized and consistent across application materials.
Avoid copying and pasting AI-generated responses directly into your resume, cover letter, or writing samples without personalizing them to reflect your own experience.
Structuring your resume/CV or cover letter. Ask GenAI for formatting tips or layout suggestions.
Do not use AI for assessments or tests if they are part of the process—unauthorized assistance is not permitted.
Interviews
GenAI can be a great resource for preparing and building confidence before your interview. However, it should never replace your authentic voice or misrepresent your experiences and qualifications. Here are examples of appropriate uses and things to avoid:
Researching Stantec or industry insights.
No real-time AI assistance.
Do not use AI tools (e.g., ChatGPT, voice assistants, or browser extensions) to generate or suggest responses during interviews.
Analyzing job descriptions. Generate customized interview questions based on role requirements to guide your preparation.
No AI-generated scripts.
Do not read from AI-generated scripts or prepared answers.
Practicing responses. Use platforms like mock interview simulators to rehearse answers and refine your communication.
No substitution of personal input.
Do not use AI to simulate your presence during the interview or replace your authentic input.
These guidelines help ensure every candidate is evaluated based on their own merit, in alignment with Stantec's inclusive hiring practices. Improper use of —such as misrepresenting your experience or using AI tools during the interview—may negatively impact your candidacy.
