You Opportunity

We are currently seeking an Administrative Assistant in our Reno, Nevada office to provide high level front desk, administration, and customer

service support. As an integral member of the administrative team, this

position provides various support services in the Stantec office; primarily

focusing on clerical and administrative tasks. The administrative assistant

must present themselves in a professional manner and have superior

interpersonal skills, over the phone and in person.

As the face and voice of Stantec,

the successful candidate must have demonstrated experience in a similar role,

have a high degree of professionalism and corporate communication skills, be

professionally presented, have superior organizational skills with the ability

to focus on multiple tasks and changing priorities. Must have a mature approach

and confidence in dealing with a wide range of clients and business partners.

You Key Responsibilities:

Typical duties will include but not limited to the


  • Operates telephoneswitchboard to answer, screen, or forward calls, providing information, takingmessages, or scheduling appointments.

  • Greets persons enteringestablishment, determines nature and purpose of visit, ensure visitors sign inat reception and advise them of proper safety procedures. and direct or escortthem to specific destinations.

  • Assist with firedrills/evacuation in case of emergency.

  • Maintains office areasand conference rooms, including scheduling meetings, and ensuring clean,orderly appearance of common spaces.

  • Directs incoming andoutgoing deliveries in many formats. Collects, sorts, distributes, or preparesmail, messages, or courier deliveries.

  • Assist the team by filing, photocopying,collating, etc.

  • Be able to lift 15-20 pounds(office supplies, cases of paper).

  • Adhere to companypolicies and procedures.

  • Monitor the use and stock of supplies andequipment and order supplies on a weekly basis.

  • Various otheradministrative tasks, as assigned by the Office Manager, to keep the officerunning smoothly.

  • Performs wordprocessing duties in a timely manner. Types letters, reports, forms or othermaterial from a rough copy, corrected copy, email or voice recording whileensuring the quality and format meet the firms’ standards.

  • Works in reproductionto prepare technical engineering, surveying, or construction documents andreports.

  • Creates, maintains, andenters information into databases, such as proposals/project opportunities.

  • Keen attention to detail.

  • Requires administrative experience, reading, writing, grammar, math, andexcellent clerical and communication skills.

  • Requires skills in using computer applications for word processing,spreadsheets, databases, internet navigation, e-mail, and calendars.

  • Intermediate to advanced proofreadingand editing skills.

  • An intermediateto advanced proficiency in the MS Office suite of applications with the abilityto learn and adapt to new programs and processes.

  • Proficient in Microsoft Outlook, including managing calendars.

  • Must possess a valid driver’s license.


Minimum 2 years’ experience as a receptionist and/or administrative

assistant. Knowledge of administrative and clerical procedures and systems such as

managing files and records, and other office procedures and terminology. An intermediate to advanced proficiency in Word, Excel, and a basic

understanding of Adobe.

Typical office

environment working with computers and remaining sedentary for long periods of

time. Field work may include exposure to the elements including inclement
