Stantec Executive Assistant in Pune, India


Requisition Number:



• Work closely with the Director for day to day office administrative tasks

• Maintaining Director’s calendar to schedule and manage appointments

• Assist the local management with internal communications for Pune office

• Ensure consistent framing of messages, edit and revise content as necessary

• Suggest what information should be presented to employees

• Edit, design, and print internal publications

• Ensure office communication is consistent and reflects the organization’s strategic vision

• Provide full secretarial and admin support to the department to ensure the smooth running of the department operations

• Develop and maintain document control processes for the efficient management

• Maintain a user friendly filing and document control system for recording and tracking of all documents for the project team and department

• Support the department in daily admin roles and assist to keep stock of stationary supplies for the department

• Perform data-entry, recording, printing and filing duties

• Coordinate travel arrangements inclusive of air-ticket, hotel accommodation, visa arrangements, claims etc

• Arrange for the meetings and maintain Minutes of meeting

• Preparing reports and presentations

• Approval of items such as Purchase Orders, Paid Time Off (PTO) requests, Expenses etc. when the Director is travelling

• Expenses management


Executive Assistant


• Bachelor degree in any stream with 5+ years of experience

• Ability to maintain confidentiality is key

• Fluency in written and spoken English is required

• High comprehension skills and essay writing is preferred

• Accuracy, attention to detail and organizational skills are important

• Need to be adaptable to work in a schedule and resource challenging environment

• Experience with communicating with people at all levels internally, externally and internationally

• High level of discretion is paramount

• Customer service orientation is key

• Conversant with diary management and booking of travel

• Flexibility and the ability to work with various managers, client groups, and other departments within the organization

• Ability to organize and prioritize workload

• Time management skills
