Stantec, has an exciting opportunity in our Miami , FL office for an Administrative Assistant. This is a permanent full-time position.
As the face and voice of Stantec, the successful candidate must have demonstrated experience in a similar role, have a high degree of professionalism and corporate communication skills, be professionally, have superior organizational skills with the ability to focus on multiple tasks and changing priorities and have a mature approach and confidence in dealing with a wide range of clients (both internal and external) and business partners.
Create a great first impression and interface in a professional and positive manner while greeting clients and vendors both in person and over the phone including managing the visitor registration process.
Answer a multi-line phone system and effectively route calls.
Handle scheduling using Microsoft Outlook Calendars, including monitoring calendars and events and anticipating meeting requirements.
Coordinate incoming and outgoing deliveries and send packages, including Federal Express Shipments, domestic & international.
Keeping track of employees’ whereabouts (in, out, on vacation, etc.) to facilitate ease of communication.
Maintain the reception, lobby, break and conference rooms.
Performs general office duties including, but not limited to: typing and formatting correspondence, use of company templates, maintaining electronic logs, organizing/maintaining office lists and files, scanning and copying, processing and preparing mail and packages for shipment.
Respond to staff needs in a timely and effective manner.
Assist with office meetings and event planning, including ordering food, set-up and clean-up of events.
Assist with the Record Management (archiving) for the office (data entry, research, retrieval, etc.).
Be an active member of our Office Safety Committee
Other duties as assigned.
Your Capabilities and Credentials
3+ years of professional experience operating in an administrative office support/receptionist capacity with demonstrated skill to support a business effectively.
Reliable and punctual.
Availbility to work from 8:30 AM to 5:30 PM, Monday through Friday.
A High School Diploma in addition to some higher education and/or work experience equivalent. Previous experience workign in an engineering or architecture firm is strongly preferred.
Computer proficiency, especially within the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe.
Excellent customer service skills.
The ability to work well under pressure, deal with difficult situations and/or people, take initiative, demonstrate organizational and detail-oriented skills and juggle multiple responsibilities in a deadline-driven environment.
A professional, positive, proactive attitude, high-energy level, flexibility, dependability and willingness to learn new skills and be a team player.
