Stantec, has an exciting opportunity in our Miami , FL office for an Administrative Assistant. This is a permanent full-time position.

As the face and voice of Stantec, the successful candidate must have demonstrated experience in a similar role, have a high degree of professionalism and corporate communication skills, be professionally, have superior organizational skills with the ability to focus on multiple tasks and changing priorities and have a mature approach and confidence in dealing with a wide range of clients (both internal and external) and business partners.

Your Duties

  • Create a great first impression and interface in a professional and positive manner while greeting clients and vendors both in person and over the phone including managing the visitor registration process.

  • Answer a multi-line phone system and effectively route calls.

  • Handle scheduling using Microsoft Outlook Calendars, including monitoring calendars and events and anticipating meeting requirements.

  • Coordinate incoming and outgoing deliveries and send packages, including Federal Express Shipments, domestic & international.

  • Keeping track of employees’ whereabouts (in, out, on vacation, etc.) to facilitate ease of communication.

  • Maintain the reception, lobby, break and conference rooms.

  • Performs general office duties including, but not limited to: typing and formatting correspondence, use of company templates, maintaining electronic logs, organizing/maintaining office lists and files, scanning and copying, processing and preparing mail and packages for shipment.

  • Respond to staff needs in a timely and effective manner.

  • Assist with office meetings and event planning, including ordering food, set-up and clean-up of events.

  • Assist with the Record Management (archiving) for the office (data entry, research, retrieval, etc.).

  • Be an active member of our Office Safety Committee

  • Other duties as assigned.

Your Capabilities and Credentials

  • 3+ years of professional experience operating in an administrative office support/receptionist capacity with demonstrated skill to support a business effectively.

  • Reliable and punctual.

  • Availbility to work from 8:30 AM to 5:30 PM, Monday through Friday.

  • A High School Diploma in addition to some higher education and/or work experience equivalent. Previous experience workign in an engineering or architecture firm is strongly preferred.

  • Computer proficiency, especially within the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe.

  • Excellent customer service skills.

  • The ability to work well under pressure, deal with difficult situations and/or people, take initiative, demonstrate organizational and detail-oriented skills and juggle multiple responsibilities in a deadline-driven environment.

  • A professional, positive, proactive attitude, high-energy level, flexibility, dependability and willingness to learn new skills and be a team player.
