Administrative Support

An opportunity exists in our Markham, ON office for a professional and dynamic detail-focused Administrative Assistant to join our Geotechnical team, part-time.

Your Opportunity

In the role of Administrative Assistant, your ability to take initiative and remain flexible rounds out your demonstrated administrative skills.

Your Key Responsibilities

  • Edits and formats correspondence, presentations, proposals and reports.

  • Manages group financials and invoicing.

  • Manages calendars, schedules meetings, books meeting rooms, handles any special requests.

  • Attends and provides meeting minutes including tracking of action items and deliverables.

  • Coordinates travel itineraries and arrangements.

  • Initiates project set up.

  • Coordinates orientation process for new hires.

  • Maintain a record of proposals and projects status.

  • Processes expense reports, invoices and orders.

  • Performs clerical tasks including data entry, filing, photocopying, scanning etc.

  • Performs other administrative duties as required.

Your Capabilities and Credentials

  • Excellent organizational skills and attention to detail.

  • Some marketing and graphic design experience would be an asset.

  • Strong written and verbal communication skills are essential.

  • Versatility, flexibility and willingness to work within frequently changing priorities.

  • Must be willing and able to take initiative when needed.

  • Flexibility to learn new skills.

  • Proficiency in MS Office Suite.

  • Ability to manage multiple priorities and balance demands between two separate consulting teams.

Education and Experience

A minimum of 2 years of post-secondary administrative education or equivalent.

Minimum of 2-3 years administrative experience.

Position will primarily work in an office setting based in Markham Ontario. Travel is expected to be minor and limited to occasional trips between Stantec’s GTA offices.
