Your role will be to provide intermediate administrative support to our team.
Your Key Responsibilities
Accounts payable – Code high volume of sub/vendor invoices; upload electronically to corporate weekly, log into Excel spreadsheets. Reconcile vendor statements to ensure that discrepancies are quickly addressed.
Reimbursement claim preparation - Review client invoices and backup documentation, code tasks according to the state program, then accurately transfer data into many different excel spreadsheets.
Manage filing system using company protocols-compliant files through both hard copy and electronic filing including creation of new files, filing, and archiving.
Production of final reports using MS Office and Adobe.
Assist project managers and staff with data entry and other project related tasks.
Responsible for coordinating with subcontractors and vendors on their contracts and insurance requirements.
Assist with preparation and filing procedures of archiving closed projects.
Preparing mail items, such as FedEx packages and Certified mail.
Manage calendars, schedule meetings, book meeting rooms, handle special requests.
Process expense reports and setup travel for staff.
Perform clerical tasks including data entry, filing, vehicle mileage logs, photocopying, scanning, etc.
Perform other administrative duties as required and assigned.
Your Capabilities and Credentials
Proficient in Microsoft suite, especially excel and Adobe Acrobat.
1-2 years accounts payable and administrative support experience.
Excellent organizational skills and attention to detail.
Strong written and verbal communication skills.
Versatility, flexibility, and willingness to work within frequently changing priorities.
Must be willing and able to take initiative when needed.
Flexibility to learn new skills.
Ability to perform in a dynamic and fast-paced environment.
Education and Experience
High School Diploma with minimum of 5 years of experience; or equivalent combination of education and experience.
Position will primarily work in an office setting.
