Your role will be to provide data management and document control services to our team. The ideal candidate for this position is a tech-savvy self-starter who is attentive to detail, organized, and can undertake a wide variety of tasks and produce high caliber results. The Document Controller will support our Environmental Services team in Bakersfield, California.
Your Key Responsibilities
Provide direct support to business leaders through data management and administrative activities.
Maintain SharePoint and FTP sites, including site access requests, tracking logs, and fielding general site troubleshooting inquiries from team members.
Assist leadership team in coordinating and updating schedules, work load/staffing forecasts, revenue and fee forecasts, weekly progress and status reporting, and other program delivery analysis duties.
Other duties that arise associated with the management of a large, complex program of work involving multiple stakeholders.
Review and update various documents.
Prepare and track standard report deliverables to ensure that the appropriate Stantec revision approval process is completed.
Prepare and track client and vendor revisions and communications.
Control the filing and storage (electronic and hard copies) of documents and communications under Stantec filing structure.
Ensure documents conform to Stantec standards and formats.
Support the development, enhancement and functionality of document control processes, procedures, and standards.
Edit and format correspondence, presentations, proposals, and reports.
Manage calendars, schedules meetings, books meeting rooms, handles any special requests.
Attend and record minutes in meetings including tracking of action items and deliverables.
Coordinate travel itineraries and arrangements.
Process expense reports, invoices, and orders.
Perform clerical tasks including data entry, filing, photocopying, scanning etc.
Perform other administrative duties as required, including supporting activity development, setup, and cleanup, assisting with vendor review and payment, participating in marketing and business development as requested, and assisting project managers with project delivery support (e.g. project filing).
Your Capabilities and Credentials
Excellent communication and interpersonal skills.
Excellent organizational skills and attention to detail.
Strong multi-tasking skills with the ability to prioritize and organize multiple concurrent assignments.
Demonstrated experience with document control systems, processes, procedures, and standards.
Demonstrated experience with technical documents (e.g. manuals and workflows).
Proficiency in MS Office Suite, in particular the use of Excel and pivot tables.
Proficiency in Adobe Acrobat, experienced with creating and editing user-friendly PDF documents using advanced features of Acrobat Professional.
Valid driver's license and good driving record required.
Education and Experience
Experience in, and familiar with, a variety of environmental-related projects and terminology is required. Post-secondary degree in related field with minimum of 2-3 years' experience or equivalent combination of education and experience.
Position will primarily work in an office setting with minimal travel (<10%).
